1. Who we are

ContentWorks builds local visibility and authority for tradespeople. We are the data controller responsible for the personal data described in this notice.

2. What data we collect and how

We collect personal data in the following ways:

(a) When you contact us or make an enquiry

If you use our contact or enquiry form, email us, or otherwise get in touch, we may collect your name, business name, email address, phone number and the content of your message.

(b) When you submit a free assessment

When you complete the free OMNIlocal™ Visibility Scorecard (including its live AI-presence check), we collect the details you enter… for example your name, email address, business name, website address and the trade or location information needed to generate your result.

(c) Analytics and website usage

When you browse the site, we collect anonymised data about how visitors find and use our pages (for example pages viewed and approximate location) through analytics tools. Analytics cookies are only set after you give consent… see Section 6 below.

Our lawful bases

Under UK GDPR and the Data Protection Act 2018, we rely on the following lawful bases:

• Consent: for analytics cookies, and for any marketing communications you opt in to. You can withdraw consent at any time.
• Legitimate interests: to respond to your enquiry, to provide your Scorecard or AnswerGuard™ result, and to keep our website secure and improve it. We only rely on this where your interests and rights do not override ours.
• Contract: where you are a client, to take steps at your request before entering an agreement and to deliver the services we have agreed.

3. How we use your data

We use the personal data we collect to:

• Respond to your enquiries and provide the information you ask for.
• Generate and send your free Scorecard or AnswerGuard™ result.
• Deliver, manage and support the services we provide to clients.
• Understand how the website is used so we can improve it.
• Send marketing communications where you have asked us to, or where we are otherwise permitted to. You can opt out at any time.
• Keep our website and data secure, and meet our legal obligations.

We will not use your information for marketing without an appropriate lawful basis, and you can opt out at any time.

4. Who we share your data with

We do not sell, rent or trade your personal data. We use a small number of trusted third-party providers (processors) to run our website and deliver our services. We only share data with them to the extent needed for those services to function, and under appropriate contracts:

• LeadFlow™: our customer relationship management (CRM) platform, used to store enquiry and client details and manage our communications with you.
• Google: Google Analytics (GA4) and Google Tag Manager, used to measure and understand website usage.
• Cloudflare: website hosting, performance and security.
• Web3Forms: secure delivery of form submissions to us.
• Email and productivity providers: used to receive, store and reply to your messages.

Some of these providers may process data outside the UK. Where that happens, we make sure appropriate safeguards are in place (such as UK adequacy regulations or the International Data Transfer Agreement) so your data stays protected to UK standards.

We may also disclose information where we are required to do so by law, or to protect our legal rights.

5. Cookies

Cookies are small files stored on your device that help a website work and help us understand how it is used. We use two kinds:

• Essential cookies: always active and necessary for basic functions such as navigation, security and remembering your cookie choice. They do not track you across other websites and cannot be switched off.
• Analytics cookies: set only after you click "Accept" on our cookie banner. Until you accept, our analytics runs in a privacy-preserving, cookieless mode under Google Consent Mode and no analytics cookies are written.

How to control cookies. You can change or withdraw your choice at any time by clearing your browser cookies (the banner will reappear on your next visit) or by using your browser's privacy settings to block or delete cookies. Withdrawing consent will not affect the lawfulness of any processing carried out before you withdrew it.

6. How long we keep your data

We keep personal data only for as long as we need it:

• Enquiry and assessment data: kept for as long as needed to respond to you and, where relevant, to follow up on your enquiry, then deleted or anonymised.
• Client data: kept for the duration of our working relationship and for any period afterwards required to meet legal, accounting or contractual obligations.
• Analytics data: retained in Google Analytics according to the retention period set in our account.

7. How we protect your data

We take appropriate technical and organisational measures to keep your personal data secure… including access controls, encrypted connections and working only with reputable providers. No method of transmission over the internet is completely secure, but we work to protect your data and respond promptly to any issue.

8. Your rights

Under UK data protection law, you have the right to:

• Access the personal data we hold about you.
• Rectification: ask us to correct inaccurate or incomplete data.
• Erasure: ask us to delete your data in certain circumstances.
• Restriction: ask us to limit how we use your data.
• Object to processing based on our legitimate interests, and to direct marketing at any time.
• Data portability: receive your data in a commonly used format where applicable.
• Withdraw consent at any time, where our processing is based on consent.
